Google Workspace Alternatives

QUICK NOTES
The best Google Workspace alternatives depend on what's actually driving the switch: Microsoft 365 if you need desktop-grade apps, Zoho Workplace if cost is the issue, Proton Mail if encrypted email is the priority, and Lark if you want chat, docs, and video in one app. Google Workspace itself has more than 11 million paying customers, per Alphabet's Q4 2025 earnings, so this isn't about the platform failing. It's about fit and price.

Google Workspace and Microsoft 365 split the office suite market almost evenly by domain count, roughly 50% versus 45%, according to enterprise adoption data compiled by emnms. Neither is disappearing. But plenty of specific use cases (tight budgets, encrypted email, an all-in-one chat and docs app) are better served elsewhere.

This guide replaces two older, thinner posts with one direct comparison guide, covering Microsoft 365, Zoho Workplace, Proton Mail, and Lark against Google Workspace on price and features that actually differ.

What are the Best Google Workspace Alternatives in 2026?

The best Google Workspace alternatives in 2026 are Microsoft 365 for teams that need full desktop apps, Zoho Workplace for teams that want the same core tools at a much lower price, Proton Mail for teams that prioritize encrypted email, and Lark for teams that want chat, docs, and video bundled into one app instead of several.

• Microsoft 365: best if desktop-grade Word, Excel, and PowerPoint matter more than browser-based editing.
• Zoho Workplace: best if price is the actual complaint, starting at $1 a month per user.
• Proton Mail: best if encrypted, privacy-first email is the priority over an all-in-one suite.
• Lark: best for teams that want chat, docs, and video meetings in a single app rather than several Google apps stitched together.

How does Microsoft 365 Compare to Google Workspace Now?

Microsoft 365 now costs about the same as Google Workspace at the entry and mid tiers, after Microsoft raised Business Basic from $6 to $7 a month and Business Standard from $12.50 to $14 a month on July 1, 2026, a change Microsoft itself called its largest commercial pricing update since 2022. Google's comparable Business Starter and Standard plans run $7 and $14 a month annually.

At the top tier, Microsoft 365 Business Premium held flat at $22 a month, exactly matching Google Workspace Business Plus's $22 annual price. That price parity is new. The real difference now sits in where the apps run: Microsoft 365 still leads on full offline desktop apps, while Google Workspace stays stronger for real-time browser-based co-editing.

Microsoft holds a larger share of enterprise deployments (around 58% versus Google's 42%) and an even bigger lead among Fortune 500 companies, roughly 75% versus 25%, per the same enterprise adoption data. Google Workspace still edges ahead on raw domain count across all business sizes, closer to 50% against Microsoft's 45%.

The honest take: if your team already lives in Word and Excel file formats that clients expect, Microsoft 365 removes a formatting headache Google Workspace doesn't fully solve. If your team is remote-first and browser-based already, the new pricing parity removes cost as a reason to stay on Google by default.

What's a Good Google Workspace Alternative for Email Specifically?

Proton Mail is the clearest Google Workspace alternative when the actual need is email, not the full suite of docs, sheets, and video tools. Its Business plan costs $12.99 a month per user and bundles 500GB of combined mail and Drive storage, calendar, VPN, and a password manager, all end-to-end encrypted by default.

What is end-to-end encryption? End-to-end encryption means only the sender and recipient can read a message's content, not even the email provider itself. Google Workspace and Microsoft 365 encrypt data in transit and at rest, but neither offers this level by default the way Proton does.

Proton's entry-level Mail Essentials plan runs $7.99 a month per user for 15GB of encrypted mail with custom domains, cheaper than Google Workspace's Business Starter at $7 monthly only if you don't need the wider app suite. For a team whose real complaint is "I don't trust where my email data lives," Proton solves that directly. For a team that just wants a cheaper Gmail alternative, it isn't the fit.

How does Zoho Workplace Compare to Google Workspace?

Zoho Workplace compares to Google Workspace as a close feature match at a fraction of the price, running from $1 a month per user for mail-only up to $6 a month for its Professional tier, against Google's $7 to $22 range. Both cover email, calendar, chat, and a full document suite.

Zoho's Standard plan, at $3 a month, includes 30GB of mail, 100GB of shared WorkDrive storage, its Office Suite, Cliq chat, and 10-participant video meetings. Professional at $6 a month bumps storage to 1TB and video capacity to 100 participants, plus Zoho Connect's social intranet feature.

The gap shows up in polish and integrations, not core function. Google Workspace's Marketplace and third-party integrations (Slack, Zoom, Salesforce) run deeper than Zoho's ecosystem. For a small business asking specifically whether a cheaper version of Google Workspace exists, Zoho Workplace is the direct answer, at roughly a quarter of the cost for the mid-tier plan.

How does Lark Compare to Google Workspace?

Lark compares to Google Workspace as a single-app alternative built around chat, docs, and video instead of several separate apps. Built by ByteDance, Lark's free plan supports up to 20 users with 100GB of storage, and its Pro tier runs about $12 a month per user on annual billing.

Where Google Workspace splits communication across Gmail, Chat, and Meet, Lark keeps messaging, document editing, and video meetings (supporting up to 500 participants on Pro) inside one interface. Its automation features cap out at 5,000 workflow runs a month before requiring an upgrade or add-on pack.

Lark fits teams already comfortable with an all-in-one super-app model, especially companies with a presence across Asia where Lark (branded Feishu in China) has stronger existing adoption. It's a bigger workflow change than switching from Google Workspace to Microsoft 365, since your team relearns one interface instead of swapping familiar apps for similar ones.

Our related piece on how to build a modern work tech stack covers this same tradeoff: consolidating into one app like Lark can cut subscription sprawl, but only if the team actually adopts it instead of running it alongside the tools it was meant to replace.

How do you Pick the Right Google Workspace Alternative?

You pick the right Google Workspace alternative by identifying the actual complaint (cost, encryption, desktop apps, or app sprawl) and testing only the tool built to fix that specific problem, rather than trialing all four options against your full team at once.

1. Name the real driver. "Too expensive" points to Zoho Workplace; "not secure enough" points to Proton Mail; "need real Excel" points to Microsoft 365; "too many separate apps" points to Lark.
2. Migrate a small team first. Move one department's email or docs before committing the whole company, so a bad fit costs a week, not a quarter.
3. Check file compatibility both ways. Confirm the new tool opens and saves the file formats your clients and partners actually send you.
4. Compare the real annual cost, not just monthly. Every tool in this list prices lower on annual billing, sometimes by 15% to 20%.

Most teams that seriously compare Google Workspace alternatives end up choosing based on one deciding factor, not a full feature checklist.
